Our professional real estate office, known for its elevated and sophisticated approach, is seeking an experienced administrative assistant to join our team and be an integral part of our success.
In this position, you will be responsible for providing exceptional administrative support to our real estate professionals, as well as the managing broker, and ensuring the smooth operation of our office.
The ideal candidate should possess excellent organizational skills, attention to detail, and a strong ability to multitask while maintaining a polished and professional demeanor.
Compensation:
$40,000 - $60,000 yearly
Responsibilities:
Office Operations:
Greet clients and visitors with a warm and professional demeanor, creating a positive first impression of the office Answer phone calls and respond to emails in a courteous and timely manner Maintain office supplies and ensure the office environment is always presentable and well-organized Assist in coordinating meetings, conferences, and appointments for real estate professionals Administrative Support:
Handle day-to-day administrative tasks, including filing, scanning, and data entry, with exceptional attention to detail Prepare, format, and proofread various documents, contracts, and correspondence Assist in preparing presentations, reports, and marketing materials with a focus on maintaining an elevated and polished feel Manage and update real estate listings on various platforms and our website Client Relations:
Assist in managing client inquiries and maintaining a high level of customer service Follow up with clients, vendors, and partners to ensure satisfaction and prompt resolution of any issues Coordinate client events and outreach activities to enhance relationships and reinforce the office's elevated reputation Database Management:
Maintain and update client and property databases accurately and confidentially Ensure all records are organized, easily accessible, and comply with relevant data protection regulations Marketing and Social Media:
Contribute to the development and execution of marketing strategies to promote properties and the office's brand Assist in managing the office's social media accounts, maintaining a consistent and elevated online presence
Qualifications:
High school diploma required Can work on deadline and handle private client information Real estate experience preferred but not required Experience using word processing programs, spreadsheets and Multiple Listing Service 2
