Position Overview:
We are seeking a proactive and highly organized individual to join our team as an Assistant to the Vice President.
In this role, you will provide essential administrative support to the Vice President, enabling them to effectively manage their responsibilities and contribute to the overall success of the firm.
The ideal candidate will be detail-oriented, possess strong communication skills, and thrive in a fast-paced environment.
Responsibilities:
1.
Calendar Management:
Organizing and managing the executive's schedule, including scheduling meetings, appointments, and events.
This may involve coordinating with other executives, clients, and team members.
2.
Communication:
Handling and prioritizing incoming communications, including emails, phone calls, and messages.
Drafting and preparing correspondence on behalf of the executive.
3.
Meeting Preparation:
Assisting in the preparation for meetings by collecting and organizing relevant materials, preparing agendas, and ensuring the executive is well-informed and prepared.
4.
Document Management:
Managing and organizing documents, reports, and other important materials.
This may involve creating, editing, and proofreading documents.
5.
Follow-Up:
Ensuring that tasks and action items resulting from meetings are tracked and followed up on.
This includes monitoring deadlines and providing reminders.
6.
Gatekeeping:
Acting as a gatekeeper for the executive, screening and prioritizing communications and requests, and redirecting them as necessary.
7.
Information Management:
Keeping the executive informed about important updates, department reporting, and other relevant information.
Conducting research as needed.
8.
Project Support:
Providing support on various projects and initiatives led by the executive.
This may involve coordination with other departments and team members.
9.
Confidentiality:
Maintaining a high level of confidentiality regarding sensitive information and executive decisions.
10.
Administrative Tasks:
Handling administrative tasks such as working on processes with the Executive Vice President and assisting in their other day-to-day responsibilities to ensure smooth operations.
11.
Liaison Role:
Serving as a liaison between the executive and other staff members, departments, and external contacts.
12.
Problem Solving:
Addressing issues and solving problems on behalf of the executive, or escalating them as needed.
13.
Event Planning:
Assisting in the planning and coordination of events, conferences, and other gatherings.
It's important for an Assistant to the Executive Vice President to be highly organized, detail-oriented, and able to handle multiple tasks simultaneously.
Additionally, strong communication and interpersonal skills are crucial for effective collaboration with various stakeholders.
The specific duties may vary based on the organization's size, industry, and the executive's requirements.
Qualifications:
Bachelor's degree or equivalent experience preferred.
Proven experience in an administrative support role, preferably supporting senior executives.
Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
Strong attention to detail and accuracy in all work.
Excellent communication skills, both written and verbal.
Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
Ability to maintain confidentiality and handle sensitive information with discretion.
